The problem

Growing manufacturers outgrow spreadsheets before they outgrow their stock.

Six problems we hear from small and growing manufacturers, and the capability in Pixxoft Stock that addresses each.

  • Inventory lives in spreadsheets

A lot-based stock ledger records every movement with the balance after it, and reconciles itself against lot quantities each night.

    Inventory and stock ledger
  • Nobody is sure what raw material is available

Batch planning checks open lots line by line, and low-stock and out-of-stock alerts are raised against each item's minimum level.

    Material availability
  • Stock expires before it is used

Oldest stock is used first, expired lots are blocked, and staff are alerted as expiry approaches.

    Expiry management
  • It is hard to say what a batch really cost

Completing a batch consumes materials from specific lots, adds packaging and batch overheads, and shows the cost per good unit.

    Batch costing
  • Purchasing, production and sales records do not connect

Receipts create lots, batches consume them, and every sale line records the lot and batch it was taken from.

    Lot traceability
  • Profitability is a guess until month-end

Gross profit appears on each sale, and the Business Profit & Break-Even report covers operating expenses and break-even sales for a chosen period.

    Reports and costing

How it fits together

One connected chain, from supplier to profit.

Each step keeps the quantity, the lot it came from and its cost, so the next step starts from facts rather than from a spreadsheet someone updated last week.

  1. 01

    Supplier receiving

Post a goods received note. Freight and other charges are spread into each lot's cost.

  2. 02

    Inventory lots

Every delivery becomes lots with expiry dates, and each movement is written to the stock ledger.

  3. 03

    Formulas

Versioned per-unit recipes with a live cost estimate. A used formula can never be changed silently.

  4. 04

    Manufacturing batches

Check availability, substitute or note a shortage, then complete with rejected units and leftover bulk.

  5. 05

    Finished goods

Good units become a lot of finished product, costed per unit, with the batch number as the lot number.

  6. 06

    Sales

Stock is allocated oldest-first, and each sale records the lot and batch it came from.

  7. 07

    Costing and profitability

Batch cost, gross profit per sale, and business profit and break-even for any period.

  8. Nothing in the chain is a report-time guess: each link is a stored record, which is what makes lot-level tracing possible.

    See lot traceability

Inventory and traceability

Follow any lot from the supplier to the sale.

Receiving, lot quantities, expiry dates, production consumption and sales are linked by stored records. Choose a stage to see what is recorded there.

Step 3 of 5

A batch records which lots it consumed

Completing a batch draws materials from open lots oldest-first and writes one consumption row per lot used, so each batch knows which ingredient and packaging lots went into it.

What is recorded

  • Formula version used
  • Lot-by-lot consumption
  • Substitutions and shortage notes
  • Rejected units and leftover bulk

The links are all stored, and you can follow them one lot at a time. A dedicated one-click recall report is not part of the product today.

Manufacturing

A cosmetics-manufacturing workflow, not a generic stock list.

Plan batches in finished units, check availability, substitute short ingredients and see what each batch cost per good unit.

  • Versioned formulas that lock once used in production
  • Availability checks, and substitution or a recorded shortage note
  • Rejected units and leftover bulk recorded as wastage
  • Finished-goods lots with batch-level cost breakdown

Solutions

Who it works for today.

Cosmetics and skincare makers are the closest fit. Others fit to varying degrees, and we say where.

Industry details and limitations

Cosmetics and skincare manufacturers

Closest fit

The system was built around a cosmetics manufacturer: fill sizes, containers, per-unit packaging, bulk-to-unit filling and expiry-first stock handling.

Usual package: Manufacturing Inventory

Soap and personal-care producers

Largely ready

Soap, candle, aromatherapy and home-fragrance makers follow the same pattern of ingredients, packaging, batches and finished lots.

Usual package: Manufacturing Inventory

Small-batch formulated-product makers

Partial fit

Makers of simple formulated goods, such as sauces, spices, juices, herbal or nutraceutical products, can use the stock, recipe and costing parts.

Usual package: Manufacturing Inventory or Advanced / Custom

Stock-based resellers and distributors

Starter package

Businesses that buy, hold and sell stock can use the inventory, purchasing, sales and reporting parts without manufacturing.

Usual package: Starter Inventory

Packages

Start with inventory. Add manufacturing when you need it.

Three packages, built from the same modules. Package scope and installation arrangements are confirmed during consultation, and pricing is discussed against your requirements.

Core inventory

Starter Inventory

Core inventory, purchasing, sales and reporting.

  • Ingredients, packaging, consumables and products
  • Suppliers and purchasing (goods received notes)
  • Lot tracking, expiry handling and stock adjustments
  • Quick Sale with FIFO allocation, plus customers
  • Operational reports and the dashboard

For manufacturers

Manufacturing Inventory

Everything in Starter, plus formulas, production, costing and assets.

  • Everything in Starter Inventory
  • Versioned formulas with live cost estimates
  • Production batches, substitution, wastage and finished-goods lots
  • Cost entries, allocation and batch cost breakdown
  • Asset register with depreciation and disposal
  • Business Profit & Break-Even report (with sales, costing and reports enabled)

Configurable

Advanced / Custom

A configurable combination of the supported modules.

  • Any dependency-valid combination of the 13 optional modules
  • Module choices are enforced by the system, not just hidden in the menu
  • Disabling a module never deletes the data already recorded

Details of every module are on the packages page.

How implementation works

A clear path from first conversation to working system.

This is Pixxoft's proposed service process. Deployment times, data-migration help, training and support response times are not promised here: they are agreed with each client during consultation.

  1. 01

    Initial consultation

We learn about your products, how you buy, make and sell, and what is not working today.

  2. 02

    Business workflow assessment

We compare your workflows with what the system does, and note anything that would need adjustment or custom work.

  3. 03

    Package selection and configuration

We agree which package and modules fit, and how users and roles should be set up.

  4. 04

Client-specific installation and initial data setup

A dedicated installation is prepared for your business, and your master data and opening stock are entered.

  5. 05

    Testing and user training

Your team checks the main workflows end to end, and users are shown how to work in the system.

  6. 06

    Handover and ongoing support arrangements

We hand over the installation and agree how updates, backups and support will work.

Straight answers

Questions we expect you to ask.

Including the ones where the honest answer is that something is not there yet.

Read all questions
Who is Pixxoft Stock designed for?

It is designed for small and growing manufacturers, with cosmetics, skincare and personal-care makers as the closest fit. It was built for Ceyora Cosmetics, a cosmetics manufacturer in Sri Lanka. Soap, candle and other small-batch formulated-product makers can use it with some caveats, and resellers and distributors can use the inventory, purchasing and sales parts without manufacturing.

Can I trace a finished product back to the ingredient lots it came from?

The data supports it: each batch records the lots it consumed, and each sale records the lot and batch it was taken from. Today you can follow this one lot at a time through the lot screen. There is not yet a dedicated one-click recall or end-to-end traceability report.

Is it accounting software? Does it handle tax or invoices?

No. It is an inventory, manufacturing and costing system. It does not calculate tax, produce tax invoices or credit notes, or keep payables and receivables ledgers. Profit figures are management reports, not statutory accounts. Printable receipts are available for sales.

What does a dedicated installation mean?

The intention is to install a separate copy of the system, with its own database, for each client business. The hosting arrangements, who manages the server and what is included in an installation are subject to confirmation during consultation.

Subject to confirmation

Who owns our data, and how are backups and support handled?

The system includes a scheduled nightly database backup routine. Data ownership terms, backup retention and off-site copies, restore arrangements, and support hours and response times are all subject to confirmation and will be agreed in writing for your installation. We do not quote fixed response times until they are agreed.
