Reports and costing

Know what it cost to make, what it earned and where you break even.

From ingredient prices to batch cost, from sale margin to business profit. Costing is what turns stock records into decisions.

All figures on this page are illustrative sample data, not real results.

Where cost comes from

Six layers, from a bag of ingredient to a profit figure.

  • 01

    Ingredient and packaging cost

Materials are costed at a moving weighted average, drawn from lots oldest-first.

  • 02

    Production batch cost

A completed batch adds packaging and batch overhead lines, removes leftover bulk and divides by good units.

  • 03

    Labour and overhead allocation

Record a cost once, then allocate it to batches, with a guard against allocating more than the entry.

  • 04

    Sales gross profit

Each sale shows revenue, cost and profit as it is recorded, and which cost basis was used.

  • 05

    Business profitability

Net sales, cost of goods sold, operating expenses, other business expenses and net operating profit for a period.

  • 06

    Break-even

Fixed and variable costs are separated to estimate the sales needed to break even, and how far you are past it.

Product and batch cost

An estimate to plan with, an actual to learn from.

A product shows a live estimated cost from current material prices. A completed batch records what it really cost per good unit.

  • Estimated cost covers ingredients and packaging at current average prices
  • Batch cost uses the lots actually consumed, plus batch overheads, less leftover bulk
  • An audited cost override is available where a business prefers a standard cost

The live estimate changes as material prices change. A completed batch records what that batch actually cost.

Labour and overhead

Allocate shared costs without double counting.

Record labour, overhead, external services or equipment use as a cost entry, then allocate it across batches.

  • Expense category and fixed or variable classification for each cost
  • Over-allocation is blocked
Allocating a cost after a batch is complete updates the batch breakdown. The finished-goods lot and past sales keep their earlier cost, and the Business Profit report treats allocated costs as period expenses to avoid counting them twice.

Business Profit & Break-Even

From sales to net operating profit, for any period.

Choose this month, last month, this year, all time or a custom range, for the active site or all accessible sites.

  • Net sales, cost of goods sold at actual lot cost and gross profit
  • Operating expenses split into fixed, variable and unclassified
  • Depreciation, net stock write-offs and production losses
  • Capital expenditure and inventory purchases versus consumption, shown separately
  • Break-even revenue, progress towards it and margin of safety
  • Drill-down by sales, production, expenses, losses, assets and products, with CSV export
Break-even result statuses: Reached; Not reached; Not calculable: no sales; Not calculable: no fixed costs; Not achievable: negative margin. The result is marked as estimated when expenses are unclassified. This is a management report and needs cost-visibility access. It is not statutory accounts, and tax is not calculated.

Worth knowing

Two profit views, by design.

So the numbers are never a surprise in a demo or a meeting.

Sale screens and the Sales and Profit reports measure profit against the booked cost: a cost override or Cost Price if one is set, otherwise the cost of the lots allocated.

The Business Profit report uses the actual lot cost of what was sold. If a standard Cost Price differs from what production really cost, the two views will differ, and that is intended.
