Inventory and Stock Ledger
Know what you hold, where it is and what it is worth, with every movement explained.
What it does
- Stock on hand per site, built from open lots, with stock value
- An append-only ledger: every movement is recorded with the balance before and after
- Low-stock, out-of-stock and expiring lists
- A nightly check compares lot quantities with the ledger and reports any difference
Limits to know about
- A site is the finest location. There are no bin or shelf locations and no barcode scanning.
Availability: Included in every package.
How lot traceability worksMovements are only ever added, never edited. Balances are reconciled against lot quantities each night.
Illustrative interface with fictional sample data. Not live data or customer results.

Ingredients, Packaging and Consumables
One consistent catalogue for everything you buy to make and pack your products.
What it does
- Three material types on one engine, with categories and supplier links
- Shelf life, minimum stock level and fill size for packaging
- Codes generated automatically, and a duplicate check while you type
- Archive and restore instead of deleting items with history
- Units of mass, volume and count with automatic conversion
Limits to know about
- Items are entered by hand: there is no CSV or Excel import yet. The set of units is fixed.
Availability: Ingredients, Packaging and Consumables are separate modules, all on in both presets.
See the packagesIllustrative interface with fictional sample data. Not live data or customer results.
03 / 15
Suppliers and Goods Received Notes
Turn a delivery into correctly costed stock, with freight included in the lot cost.
What it does
- Supplier records linked to the materials they supply
- Goods received notes move from draft to posted; nothing changes in stock until you post
- Freight and other charges are spread across lines by value
- Supplier lot number and expiry date recorded per line
- A posted note can be cancelled only while none of its stock has been used
Limits to know about
- There are no purchase orders, supplier returns or supplier payables.
Availability: Suppliers and Purchasing modules, on in both presets.
Follow stock from receipt to salePosting the note creates one lot per line and updates the material's average cost.
Illustrative interface with fictional sample data. Not live data or customer results.
04 / 15
Lot Tracking and Expiry Management
Use the oldest stock first and see what is about to expire before it becomes waste.
What it does
- Every lot carries an expiry date from the supplier, or one derived from shelf life
- Oldest-first (FIFO) stock use; expired lots are never used or sold
- A nightly job marks past-dated lots as expired and alerts staff
- Near-expiry warnings with a configurable window, and an Expiry report
- Expired stock is written off with a recorded adjustment
Limits to know about
- Lots entered as opening balances have no expiry date.
- There is no quarantine or QC-release status.
Availability: Included in every package.
Lot-level traceabilityExpired lots stop counting as on hand and are skipped when stock is used or sold.
Illustrative interface with fictional sample data. Not live data or customer results.
05 / 15
Formula and Recipe Management
Keep recipes under control, so a formula used in production can never be changed silently.
What it does
- Versioned per-unit formulas for each product
- A formula locks the first time a batch uses it; changes go into a new version
- A live cost estimate from current average material prices
- Packaging listed per unit, and bulk-to-unit filling for liquids and creams
Limits to know about
- Recipes are single-level. There are no sub-assemblies or multi-level bills of materials.
Availability: Manufacturing Inventory, or a custom package with Formulas and Production.
See the manufacturing workflowTo change a used recipe, create a new version and activate it.
Illustrative interface with fictional sample data. Not live data or customer results.
06 / 15
Manufacturing Batch Management
See what each batch really cost per finished unit, and where losses occurred.
What it does
- Plan batches in finished units; ingredient and packaging quantities are calculated
- Create a draft, then complete it with produced and rejected units
- Rejected units and leftover bulk are recorded as wastage
- Good units become a finished-goods lot with a cost per unit
- A batch can be cancelled with a full reversal if nothing has been sold from it
Limits to know about
- There is no work-in-progress stage, production scheduling or quality-control approval step.
Availability: Manufacturing Inventory, or a custom package with Formulas and Production.

What it does
- A live availability check against open lots, line by line, before and after you draft
- Substitute a short ingredient with an alternative
- Or proceed with the shortfall and record a mandatory shortage note
- Substitutions and shortage notes stay on the batch as an audit trail
Availability: Manufacturing Inventory, or a custom package with Formulas and Production.

Product Costing
Know today's cost to make a product, and compare it with what a batch actually cost.
What it does
- A live Computed Cost for each product from current average material prices
- Margin at the current selling price
- Batch cost per good unit from materials actually consumed, plus batch overheads
- Moving weighted-average material cost with oldest-first lot selection
- An audited cost override where a business prefers to book a standard cost
Limits to know about
- Costing is for management decisions. It is not a general ledger and does not calculate tax.
Availability: Costing module, in Manufacturing Inventory or a custom package.
Reports and costingThe live estimate changes as material prices change. A completed batch records what that batch actually cost.

- Line and sale-level discounts, and a channel label such as walk-in, WhatsApp or online
- Payment status flag, and printable standard or thermal receipts

Expenses, Cost Allocation and Asset Management
Bring labour, overheads and equipment into the cost picture, and keep an asset register.
What it does
- Cost entries for labour, overhead, external services, equipment and other costs
- Classify each as fixed or variable, with an expense category
- Allocate a cost to a production batch, with a guard against over-allocation
- An asset register with straight-line depreciation, transfers between sites and disposal gain or loss
Limits to know about
- Allocating a cost after a batch is complete updates the batch's cost breakdown, but not the finished-goods lot or past sale costs.
- Posted depreciation does not flow into batch cost automatically.
Availability: Costing and Assets modules, in Manufacturing Inventory or a custom package.
